Privacy Policy

1. Who we are

FrontDes is an AI Front Desk service operated by R. Moore & Co. ("FrontDes," "we," "us," or "our"). This policy explains how we collect, use, and share information when you visit frontdes.com (the "Site"), use our AI receptionist service ("Service"), or contact us. It also explains how we handle information about the customers and prospects who call or text a business that uses FrontDes.

2. Information we collect

We collect information in three main ways:

  • Site visitors. When you browse frontdes.com or submit a form (such as the contact or demo forms), we collect what you provide — name, email, business name, phone number, and message — plus basic usage data like pages viewed and referring source.
  • FrontDes customers. When a business subscribes to FrontDes, we collect account details, billing information (processed by our payment processor — we do not store full card numbers), business knowledge used to configure the AI agent, and CRM or calendar credentials the customer chooses to connect.
  • Callers and texters. Our Service answers calls and SMS on behalf of our customers. In the course of doing so we process the caller's phone number, call audio, call recordings, transcripts, and the content of SMS conversations, in order to answer questions, capture leads, and book appointments for our customer.

3. Call recording and consent

FrontDes records and transcribes calls handled by the AI Front Desk so that our customers receive call summaries, transcripts, and recordings. Callers are notified that the call may be recorded and/or handled by an AI agent at the start of the call. Businesses that use FrontDes are responsible for complying with call recording and consent laws that apply in their state or the caller's state, including two-party consent requirements where applicable.

4. How we use information

  • To provide, operate, and improve the Service (answering calls/SMS, booking appointments, generating summaries and analytics).
  • To respond to inquiries submitted through the Site.
  • To bill for and manage subscriptions, including usage-based overage.
  • To monitor call quality, train and improve our AI models' performance on real conversations (in de-identified or aggregated form where practical), and prevent abuse or spam.
  • To send service updates, and — with consent where required — product or marketing communications.
  • To comply with legal obligations.

5. Sharing information

We do not sell personal information. We share information with service providers who help us run FrontDes, under contractual confidentiality and data-protection terms, including:

  • Telephony and messaging providers, to place and receive calls and SMS.
  • Cloud hosting and infrastructure providers, to store and process data.
  • AI model providers, to power conversation understanding and generation.
  • CRM, calendar, and scheduling tools our customers choose to connect.
  • Payment processors, to handle billing.

We may also disclose information if required by law, or to protect the rights, property, or safety of FrontDes, our customers, or others.

6. Google user data

If you connect a Google Calendar to FrontDes, we access it via Google's Calendar API using an OAuth connection you explicitly grant and can revoke at any time from your FrontDes account settings or from your Google Account's third-party access page.

We request only the minimum scopes needed: checking free/busy time (calendar.freebusy) and creating calendar events for confirmed appointments (calendar.events). We do not read event titles, descriptions, attendees, or any other calendar content beyond free/busy status.

We store only an encrypted OAuth refresh token, which lets us reconnect to your calendar on your behalf. We do not permanently store your calendar's events or busy/free data — it is read live, used to answer the caller's scheduling question or create a booking, and discarded.

We do not use Google user data for advertising, do not sell it, and do not share it with third parties except as needed to provide the scheduling feature you enabled. FrontDes's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect Google Calendar at any time, which deletes the stored token immediately.

7. Data retention

We retain call recordings, transcripts, and conversation data for as long as a customer's subscription is active plus a limited period afterward for support and legal purposes, unless a customer requests earlier deletion or a shorter retention period is required by law. Site form submissions and account records are retained for as long as needed for the purposes described in this policy.

8. Your rights (California and other residents)

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain uses. If you are a California resident, this may include rights under the CCPA/CPRA. To exercise a request, email info@frontdes.com. If you are a customer of a business that uses FrontDes and want to exercise rights over data collected during a call, please also contact that business directly, as they control the relationship with you.

9. Cookies and analytics

The Site uses essential cookies and privacy-conscious analytics to understand traffic and improve the Site. You can control cookies through your browser settings.

10. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children's privacy

FrontDes is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13.

12. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Site or Service after changes take effect constitutes acceptance of the revised policy.
